What is an ERP System?

An Enterprise Resource Planning (ERP) system is an integrated platform—on-premises or in the cloud—that manages day-to-day business activities such as accounting, finance, procurement, project management, supply chain, and manufacturing.

ERP solutions serve as a central hub, providing transparency across operations by tracking production, logistics, and financials. They support functions like financial management, HR, and supply chain, while enabling collaboration across departments. ERP systems can be customized for enterprises of any size and tailored to specific industries.


What’s the difference between ERP and financials?
While the term financials is often associated with ERP, they are not the same. Financials is a subset of ERP focused on finance functions such as accounting, payables/receivables, revenue, billing, expenses, assets, and collections. It ensures compliance with standards like IFRS, GAAP, and local regulations, and supports reporting for regulators (e.g., SEC, ESMA). The CFO is typically responsible for financials.

ERP, on the other hand, is broader—covering procurement, supply chain, manufacturing, HR, project management, risk management, logistics, and more. It also integrates with CRM for customer insights and often includes advanced technologies like AI, machine learning, IoT, and blockchain. Because ERP spans the enterprise, its management usually involves the CFO, CIO, COO, and other leaders.

ERP Fundamentals
ERP systems are built on a unified data structure and common database, ensuring consistent, accurate information across all departments. By integrating people, processes, and technology, ERP connects workflows in finance, HR, operations, engineering, and beyond.

For example, an automotive manufacturer can use ERP to track every step of the procure-to-pay process for parts like brake pads, ensuring uniform data on cost, supplier, and specifications. This centralization eliminates discrepancies (e.g., different names for the same part) and provides reliable insights for decision-making, supplier negotiations, and cost tracking.

A core principle of ERP is centralized data collection and distribution. Instead of scattered spreadsheets and siloed systems, ERP provides a secure, single source of truth, enabling everyone—from the CEO to clerks—to work with accurate, up-to-date, and complete data.
